Meeting was held in the Library of Green Gables Elementary School.
Board / Officers in Attendance: Teri Johnson (President), Elizabeth Marcoccia (Vice-President), Joel Chaplin (Secretary), Mike Sullivan (Treasurer), Tim Roberts (Vice President/Landscape Lead), Cynthia Johnson (Board Member), Bob Trout (ACC Lead)
Teri Johnson called the meeting to order at 7:07pm. There were 15 homes represented at the meeting (none by proxy), which did not constitute a quorum.
Teri introduced board members and officers, and reviewed the agenda.
** Elections **
- A quorum was not present at the annual meeting so election of board members will be postponed until the Christmas party on Tuesday, 12/19 at Tim Roberts’ house.
** ACC Report ** (Bob Trout)
- Teri communicated the need to contact Bob Trout if they are planning any home or landscape improvements.
- A question was asked about roofing material and is there any opportunity to allow anything other than shake. Bob explained that the covenants call for cedar shakes and specifically prohibit asphaltic based roofs, and to change the covenants requires a majority vote by the homeowners.
** Landscape Report ** (Tim Roberts)
- Tim discussed the projects that were accomplished this year, such as the cul-de-sac improvements and work on the pond pumps.
- Next year we will focus on improving the sprinkler systems and making the entrance way lighting more reliable.
** Treasurers Report ** (Mike Sullivan)
- Mike reviewed the status of the 2006 budget and discussed the projection for 2007.
- The 2007 budget is pretty similar to 2006, with some increases in areas such as maintenance.
- Mike communicated that he has a detailed breakout of expenses if anyone would like a copy
- Mike also recognized Elizabeth Marcoccia for her efforts with spearheading the dog waste cleanup project
** New Projects **
- Teri reviewed a two year project to replace the mailboxes in the neighborhood. Estimated cost for this will be $5000 for four mailboxes this year, with the remainder being replaced in 2008. Teri also discussed the process that will be used for replacing the boxes and delivery of the new mail keys.
** Fine Schedule for Covenant Violations **
- Teri discussed the effort underway to develop some type of fine schedule as a way to further enforce the covenants. The exact fine amounts are still being finalized, but look for an early 2007 implementation.
** Christmas Party **
- The annual Christmas party will be held at Tim Roberts’ house on Tuesday, December 19th at 6:30 to 8:30pm. Voting ballots will be handed out that night for people to vote on the Christmas lights in the neighborhood, followed by food and beverages.
** Homeowners Questions / Comments **
- A suggestion to improve homeowner participation in the neighborhood was discussed. A suggestion was made to form some type of “Welcome Committee” to make sure new people feel welcome and that they understand the covenants, etc. Teri agreed with the suggestion and would work on this next year.
- A suggestion was made to improve the way we communicate events in the neighborhood such as improving the web site, and other ways as well. It was agreed that we if we can put together a list of skills needed and advertise it than that might give people a chance to get more involved.
- Another suggestion was made to send postcards to each homeowner as reminders for major events throughout the year such as the annual meeting, Christmas party, garage sale, etc. Several people volunteered to assist in sending the reminders for this year’s Christmas party.
