Minutes for January 8, 2008

Call to Order:
Elizabeth called the meeting to order at 7:05 p.m.
Reports from Officers:
**Secretaries Report (Catharine Martin)
Reading of the minutes was waived.
**Treasurer’s Report (Debra Cammack)
Debra gave out the Cash Flow Report for the period of 1/1/2007-12/31/2007. As of this date, only 82 homeowners have paid their dues. 84 still have not paid and the deadline is January 15th 2008. Three homes have had liens placed on them, and one home in foreclosure.
Reports from Committees:
**ACC (Kris Hare, Mark Oswald and Bob Searcy)
A number of roofing requests and 1 storing shed were submitted and approved.
**Landscape Committee
The issue of the public area fences in need of repair was brought up. Elizabeth informed everyone that a contractor, Macana McCornak came to look at what was needed for both locations, by the North Pond and by the path leading to the park. Macana estimated the work at $4.00 per foot or $32.00 per panel but the Association would have to provide the material. There is 27 panels running by the side of the pond (facing Hoyt), and 24 panels on each side of pass. The back fence by the pond (facing 329th Way) was not part of the estimate because Elizabeth didn’t know at that point that it belonged to the Association. So, we would also need to consider that fence. Macana will have to get a different estimate for the paint. Some members would like a more detailed estimate. So it was recommended that the ACC and Board Members would do a walk around the fence areas within the next few weeks to evaluate the situation and discuss the possible options. A new estimate will be obtained by a different contractor.
**Website/NE Tacoma (Eric Elger)
Eric will update the Stone Brook website, including the names of the Holiday Lighting Contest winners.
Eric also updated everyone on the recent developments involving the North Shore Golf Course, including the adoption of the old environmental impact statement, the Fish and Wildlife Department challenging where Joe’s Creek begins, and the City of Tacoma filling a suit against the developer to enforce an earlier established agreement. As previously mentioned during the Annual Meeting, the Save NE Tacoma group is in need of donations to help pay for the lawyer’s fees. Since it has been determined that this project could potentially affect Stone Brook, a donation of $ 2,000.00 was recommended and approved unanimously by the Board of Directors. This amount will be taken from the reserve monies.

Nothing to be reported at this time.
**Neighborhood Watch
Eric Elgar reported a mailbox break-in on 47th Ave SW from the owner of mailbox. According to the Post Office, the lock itself looks like it’s been tampered with. The homeowner will have someone change the key/lock.
**Old Business
Mailboxes
Elizabeth informed everyone that 4 older mailbox units still need to be replaced. Elizabeth will get in touch with the supplier, mail man and post office to coordinate the change. It is set to take place in February or March.
**New Business
Gift Card for newly retired members
Elizabeth brought up the idea of thanking newly retired members for their services by offering them a gift certificate. This proposed idea was voted on and a $50.00 gift card was approved by the Board of Directors. These newly retired members are: Jeff Kurle, Teri Johnson, Bob & Eloise Trout and Mike Sullivan. 4 gift cards will be issued along with a thank you card to each.
Street lights on 329th Way
Elizabeth advised everyone that she had been in contact with Into Light (Puget Sound Energy) regarding the possible installation of street lights on 329th Way. She is at this point waiting for a reply and estimate for the project.
Stream running over sidewalk
Eric Elgar brought up complaints from a neighbor regarding a stream running over a sidewalk on the west side of 47th Ave SW. This was discussed with the owner himself during the meeting. The board informed the homeowner that it is his responsibility to take care of this problem, but also recommended him to contact the city about the issue.
Property addresses painted on sidewalks
The idea of paying a contractor to paint every homeowner’s address in front of their homes on the sidewalk was brought up. Everyone present agreed that the Association shouldn’t have to pay for this, and that if a resident wishes to make their address numbers more visible, they may do so at their own expense.
Storage
It was recommended by the Board to look for a different and more affordable storage unit in which any documents pertaining to the Stone Brook Association would be stored. Elizabeth advised everyone that Debra was looking for one at this point.
Newsletter
It was agreed by everyone present that the Newsletter would, at this point, no longer be published. Events or important information will now be communicated to every homeowner by email on a regular basis.
Speed bumps on 329th Way
Catharine Martin will follow-up with obtaining a petition for speed bump assessment for 329th Way.
Garage Sale
The subject of charging $5.00 to any homeowners participating in this event was brought up. The Board of Directors has voted and approved the waving of this fee. As of this year, the Garage Sale will be held on the 1st Saturday and Sunday of the month of May. Signage will be placed outside of our neighborhood, but the event will no longer be advertised in newspapers. No money will be asked from residents to pay for advertising.
